Scheduling Surgeries: Coordinate and schedule surgeries, procedures, and related appointments for patients, ensuring that surgery dates and times align with surgeon availability and facility capacity.
Patient Communication: Serve as the primary contact for patients regarding surgery dates, pre-operative instructions, and any other necessary preparations or follow-up care.
Verification of Details: Verify and collect all necessary medical information, and paperwork required for surgical procedures.
Collaboration with Medical Staff: Communicate with healthcare professionals to ensure all resources and personnel are scheduled for surgeries.
Pre-Operative Preparation: Ensure all pre-operative tests, lab work, and clearances are completed prior to surgery dates, and follow up with patients to confirm readiness.
Documentation: Accurately document all surgery scheduling activities in the electronic medical record (EMR) system, including notes on special requirements, patient preferences, and other critical details.
Conflict Resolution: Proactively manage any scheduling conflicts or issues, ensuring timely rescheduling if necessary and minimizing delays in patient care.
Compliance: Adhere to all relevant legal, regulatory, and organizational requirements regarding surgery scheduling, patient confidentiality (HIPAA), and data management.
Administrative Support: Provide general administrative support to the nursing department as needed, including answering phones, responding to emails, and managing patient inquiries.
Education: High school diploma or equivalent required; Associate’s degree in healthcare administration or related field preferred.
Experience: Prior experience in a medical scheduling or healthcare setting is preferred, particularly in surgery scheduling or coordination.
Strong organizational and multitasking abilities
Excellent communication and interpersonal skills
Detail-oriented with the ability to accurately manage schedules and records
Proficiency with EMR system and other scheduling software
Ability to work effectively in a fast-paced environment
Problem-solving skills and the ability to handle sensitive patient situations with professionalism.
