Position Overview

The Office Manager will perform the overall duties necessary to ensure the efficient operation of the Church Office, act as the staff support person for the Pastor, and be the first point of contact for visitors to the church during office hours.

Requirements

- The Office Manager will be required to work, on average, 32 hours per week, four days a week, in the church office.

- A High School Degree, or GED, is required for employment, prior administrative experience is preferred.

- Must be proficient in relevant computer software: MS Word, Excel, Office, Publisher, QuickBooks. And awareness and adaptability to provided office equipment is essential.

- Maintaining a professional and positive disposition with Parishioners, including maintaining a collaborative mind set with Pastor and committee members.

- The Office Manager is responsible for handling confidential information, and therefore must maintain the privacy of the information for the church and its parishioners.

- In order to hold the position of Office Manager, the employee must pass a background check and comply with Safe Gatherings Training.

Compensation

- Hourly rate of $18.00 per hour, for a 32 hour work week, paid twice monthly.

- (5) Full paid days of vacation time will be provided annually.

- Benefits (Health insurance, 401K, etc.) are potentially available through the Church Conference, and options can be explored as necessary.

We simply ask for an open dialogue so that we can accommodate the needs of the employee to the best of the Church’s abilities.

Review Process

- All Full-Time staff are required to a 90 Day probationary period upon gaining employment, after which time a performance review will be held.

- The Staff Parish Relations Committee (SPRC) is the Office Manager’s direct supervisor and resource for any needs of the employee. The employee will have a Liaison chosen by the committee to be their direct line of communication for any needs. However, in the day-to-day operations of the church, the Pastor will be the Office Manager’s point of contact for any support.

- An Annual Review will be provided by the SPRC to evaluate job performance. The SPRC holds the right to conduct an unscheduled review if work conditions or performance deem it necessary.

Office Manager/Administrative Assistant

Responsibilities and duties

☐ Welcome visitors and answer inquiries from the public and congregants who come to the Church.

☐ Answer phones, emails, and distribute mail

☐ Create weekly bulletins, newsletters, PowerPoint slideshows and announcements for worship

☐ Update email groups as necessary across all platforms

☐ Create weekly email blasts, social media content and Facebook events

☐ Send meeting reminders and email volunteers worship order and other service details

☐ Assist with updating the Church website and send bulletins and newsletters to website admin

☐ Enter worship and Sunday School attendance into database weekly

☐ Update database with congregational contact information and committee rosters

☐ Responsible for office supply procurement and reviewing supplier contracts annually

☐ Place orders for committees and groups as needed

☐ Maintain all church calendars (i.e. website, Gmail and printed) and schedule meetings and groups

☐ Produce weekly mailings for homebound

☐ Maintain, update and store all electronic and hardcopy records, files and reports

☐ Update NIC portals with annual committee and lay leader changes

☐ Attend staff meetings

☐ Take reservations for the senior luncheon, Turkey Supper, Fish Fry and other special events

☐ Create handouts and publications

☐ Mail pastoral, stewardship and capital campaign letters

☐ Request insurance certificates from the NIC for off-site events

☐ Gather information, prepare booklet and submit reports for the All Church annual conference

☐ Assist the pastor and parishioners in completing the annual NIC Statistical Report

☐ Seek out opportunities to enhance administrative skills and talent and attend PAUMCS (NIC professional administrators group) training sessions

☐ Work with the pastor and committees to improve operational efficiencies

☐ Process reimbursements, invoices and enter weekly bank deposits into QuickBooks
Assist in securing a substitute to cover office staff vacations and vacancies

☐ Other duties as assigned by the pastor or SPRC
