We are currently looking for a Site Administrative Assistant with previous demonstration of leadership and administrative skills to join our dynamic project team working on the start-up of our new 1.3MM square foot warehouse distribution and customer fulfillment center in Morris, IL.

What will you do?

This position is responsible for providing administrative and office support for the site leader and the leadership team.

Ownership for the day-to-day work systems and tasks to support the site. This includes acting as business partner and will extend to calendar management, mail/copy/print room, office supplies, event planning, travel arrangements, meeting coordination, email management, newsletters, agenda material preparation, notes generation, and other administrative systems. Must be comfortable interacting with senior leadership, multiple business organizations, and external organizations.
Drive positive team culture. Enable various culture initiatives and activities. Participate on sub teams as needed. Enable positive moments for employee key milestone ceremonies. Partner with leadership team to execute necessary team and personnel processes while maintaining high regards of confidentiality.
Supports the business by proactively managing projects and enabling other team members to do their jobs.

Qualifications

Exceptional Administrative and Organization Skills - Possess agility & ability to handle multiple priorities & interruptions. Prioritize workload & make recommendations. Proactively build and manage demanding work processes, business information, and day to day administrative task to support the business.
Strong Communication & Collaboration Skills - Exhibit business etiquette skills with internal and external stakeholders at all levels; including excellent verbal, written, non-verbal skills as well as listening to understand. Must exhibit strong interpersonal skills and work collaboratively with all levels of the organization - internally and externally. Individual must have highest respect for confidential information and appropriate use of information.
Well-versed in technical office tools and software applications - Individual must be proficient in all Microsoft Office programs include Word, Excel, PowerPoint, Outlook and OneNote. Adept at virtual assistant tools (MS Teams and Web-Ex).
Individual must be willing to learn new systems and new approaches to doing things to enhance efficiency.

Physical Requirements:


Lift 30 pounds by bending and stooping; climb, stand, and move around on stairs, ladders and platforms; twist, turn and bend.
Be willing to wear personal protective equipment (PPE), including but not limited to eye protection, safety vest, hearing protection and safety shoes.
